ServiceNow PPE Distribution - Instructions for Building Managers

Personal Protective Equipment (PPE) requires effective distribution around campus. Building Managers will periodically receive a list of items and quantities that need to move from one location to another at a specific date, within their areas of responsibility. Several forms have been built in ServiceNow to support the role of Building Managers in the distribution process. To better understand how and when to use these forms, it is helpful to be know some basic concepts.

Training Completion - Viewing and Running Reports

  1. Click the Training icon at the top of the page .
  2. Click “Training History and Requirements By Department”
  3. You may need to select your Department if it says “Please Select Your Department” in the left panel.
  4. The left panel shows all workers in the database in your department.
  5.  Clicking on a worker will make their training history appear in the bottom right panel, and their training requirements, if any, will appear in the top right panel.
  6. At the top of the left panel, select the drop-down for Training Reports.

Seal In-Lab RAM Waste Container and Request Waste Pickup (Unsealed Sources)

Don't do this step until you've entered all the radioactivity that's in the waste containers into the database via Enter Radioactive Source Use and Waste.

When no more waste will be added to a container or the container is full, physically seal the container, and then it must be marked "Sealed" in EHSA and a waste pickup request completed.

Enter Radioactive Source Use and Waste (Unsealed Sources)

EHSA allows for the entry of source use and waste generation by the Authorized User or Radiation Worker. This mechanism is meant to capture the dispensing of radioactive material from the original source vial into samples and the recording of radioactive waste placement into solid, liquid, liquid scintillation vial, and sharps containers provide by ORS and located in the lab. Waste pickup requests are handled through the same interface.

View My RAM/X-Ray Permit

  1. Log onto the EHSA database:  https://ehsa.gatech.edu/ehsa. If the link for EHSA does not work, be sure you are connected to the GT or GTRI VPN.
  2. Click the Permits icon on the bottom
  3. On the next screen, make sure the PI name is selected at the top.
  4. Select your RAM or X-Ray permit row, and click View (or double click the RAM/X-Ray permit row)
  5. Here you will find much information pertaining to your permit.

SOP Documents

Standard Operation Procedure (SOP) Documents are available to all group members under your PI permit. Only group members have an access to all listed files. 

EHS encourages to use the SOP feature to all SOP files. Feel free to post other lab or group safety documents with this EHSA feature.
